Roamly App Privacy Policy
Last updated 7 November 2026
1. Introduction
This Privacy Policy explains how The Roamly World Private Limited (“Roamly”, “we”, “us”), with its registered office at C/O Sita Ram Meel, Village Meelnagar, Mukundgarh, Nawalgarh, Jhunjhunu, Rajasthan 333705, India, collects, uses, shares and protects information when you use the Roamly mobile app (the “App”).
The App is a work tool for hotel employees. Hotels that subscribe to Roamly (each a “Hotel”) give their staff access so they can serve guests better and make sure every guest is well taken care of. Hotel guests do not use the App; the guest experience is a separate web app.
By installing or using the App you agree to this policy. If you do not agree, please do not use the App. This policy is published in accordance with the Information Technology Act, 2000 and the rules made under it.
2. Information we collect
Information you or your Hotel give us
- Account details: your name, mobile number and work email.
- Join requests: staff create an account in the App and send a request to join their Hotel. The Hotel’s managers approve it.
- Work activity: the tasks you handle in the App.
- Messages and photos: messages you send through the App, and photos you choose to attach to a task.
- Settings: your language and notification choices.
Information collected automatically
- Device information: basic details such as the App version and type of phone, and a notification token so we can send alerts to your phone.
- Technical logs: IP address, time of each request to our servers and error details, used to keep the service secure and working.
Location stays on your phone
If you allow location, the App uses your phone’s position to check that you are at your Hotel. The check happens on your phone. Your location is never sent to us, stored on our servers or shared with your Hotel. The App can do this check with the screen locked only if you choose “Allow all the time”; you can say no and the App still works.
Guest information you see
Guest information shown in the App belongs to the Hotel, and you may use it only for your work at that Hotel.
3. App permissions
The App asks for each permission on your phone, with an explanation, and you can change any of them later in your phone’s settings.
| Permission | Why the App asks |
|---|---|
| Notifications | To keep you updated on your work. |
| Camera and photos | Only when you choose to attach a photo. |
| Location (including “Allow all the time”) | To confirm you are at your Hotel. It stays on your phone. Optional. |
| Run in the background and after restart | To keep alerts working with the screen locked and after your phone restarts. |
| Ignore battery optimisation | Optional. Helps alerts arrive on time. |
4. How we use information
We use the information described above to:
- create and manage your account;
- provide, run and improve the App;
- keep the App secure and prevent misuse;
- answer your questions and complaints; and
- comply with the law and with lawful requests from authorities.
We do not sell your information or use it for advertising.
6. Storage and security
Our servers and database are in India. Data between the App and our servers is encrypted in transit, and our database is encrypted at rest. Only people who need access to our systems have it. Our service providers may process limited information, such as your email or notification token, outside India. No method of transmission or storage is completely secure, but we follow reasonable security practices as required by Indian law.
7. How long we keep information
We keep your account details while your account is active, and delete them within 30 days after you or your Hotel delete it. Work records stay with the Hotel for as long as it uses Roamly, with your name removed or replaced once your account is deleted. Security logs are kept for up to 1 year, as Indian law requires. Your location is never kept by us; it stays on your phone.
8. Deleting your account
You can ask us to delete your Roamly account and the personal information linked to it at any time. See Delete your account for the steps. Your Hotel’s manager can also remove you from the team, which ends your access to the App.
Uninstalling the App deletes what it stores on your phone but does not delete your account.
9. Your choices and rights
You have the right to:
- see your information and ask us or your Hotel to correct it;
- delete your account and ask us to erase your information, as described in section 8;
- withdraw your consent at any time, by deleting your account; and
- change the App’s permissions at any time in your phone’s settings.
To use any of these rights, or to make a complaint, write to our Grievance Officer (section 13).
10. Children
The App is for hotel employees aged 18 or over and is not directed at children.
11. Third-party links
The App may open links to other websites or apps, such as Google Maps or a Hotel’s website. We are not responsible for their content or privacy practices; please read their policies.
12. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page with its date. If we make an important change, we will tell you in the App or through your Hotel before it takes effect.
13. Grievance Officer and contact
In accordance with the Information Technology Act, 2000 and the rules made under it, complaints and questions about this policy can be sent to our Grievance Officer:
